Clause 7.5.1: General

Requirement todayISO 45001:2018Remote overlay: Documented informationReported area

The OH&S management system contains the documented information the standard requires, plus whatever documented information the organization decides it needs for the system to be effective.

What clause 7.5.1 asks

The OH&S management system contains the documented information the standard requires, plus whatever documented information the organization decides it needs for the system to be effective. How much is needed can vary with the size of the organization and the kind of activities, processes, products and services it has, with the need to show that legal and other requirements are met, with how complex its processes are, and with how competent its workers are.

Documented information is whatever the system needs to run and to prove it ran. The clause lets the organization decide the extent, but not the legal record-keeping duties.

The remote working overlay

Records a remote worker and an auditor can reach. Remote assessments, equipment records, training, check-ins, incident reports and consultation notes all have to be findable by the people who need them, including a worker who is not on the network and an auditor who cannot visit. The public record's emphasis on practical checklists and review makes the record part of the control, not an afterthought.

Basis: BSI, Arinite. For clause 7.5.1, the public record is a draft guideline and does not state a requirement in terms that this site can quote. The clause 7.5.1 overlay is our reading of the public scope and the named summaries, not the draft text.

Evidence for clause 7.5.1

An auditor will compare the master list with the records that legal duties require, such as exposure and health surveillance records.

  • Documented information Master list of OH&S system documents and records
  • Documented information Mapping of documented information to standard clauses and legal requirements
  • Documented information Justification for the extent of documentation chosen

Where clause 7.5.1 commonly fails

  • Only mandatory records identified
  • Legal record-keeping (exposure monitoring, statutory inspections) not mapped

What to do about clause 7.5.1 before the guidance lands

List the remote records the system needs and where each is kept. Give the worker a way to reach the current version and upload evidence, and give the auditor a read-only route. Set a retention period and check the route from outside the office.

For clause 7.5.1, do the work that will be right under either instrument. The current requirement for clause 7.5.1 is ISO 45001:2018, and the certificate, if you hold one, is issued against it. The clause 7.5.1 remote working preparation is an extension of the existing duty to a group of workers the system already covers, not a new system and not a reason to rebuild around a draft.
