Clause 7.5.2: Creating and updating
Whenever documented information is created or updated, the organization makes sure it is suitably identified and described (for example by title, date, author or reference number), in a suitable format and medium, and reviewed and approved so that it is fit and adequate.
What clause 7.5.2 asks
Whenever documented information is created or updated, the organization makes sure it is suitably identified and described (for example by title, date, author or reference number), in a suitable format and medium, and reviewed and approved so that it is fit and adequate.
A record that cannot be identified, dated and approved is hard to rely on later. The clause is about the small disciplines that make a document usable as evidence.
Version control for a changing arrangement. A remote working policy, checklist or assessment is edited when the arrangement changes, which can be often. Without identification, approval and version history, a worker can follow a superseded checklist and an auditor cannot tell which version was in force. The public consultation says controls are reviewed as circumstances change; the record has to show which version was reviewed.
Basis: BSI, ISO. For clause 7.5.2, the public record is a draft guideline and does not state a requirement in terms that this site can quote. The clause 7.5.2 overlay is our reading of the public scope and the named summaries, not the draft text.
Evidence for clause 7.5.2
An auditor will pick a risk assessment and check its title, date, author, approval and version.
- Document control Templates with identification fields
- Document control Approval records
- Document control Version history on procedures and risk assessments
Where clause 7.5.2 commonly fails
- Risk assessments circulated unapproved
- No version control on safe work procedures
What to do about clause 7.5.2 before the guidance lands
Add a version, date, author and approver to every remote template. Keep the prior version, record why it changed and withdraw the old one from the worker's route. Test that the current version is the one a remote worker can open.
For clause 7.5.2, do the work that will be right under either instrument. The current requirement for clause 7.5.2 is ISO 45001:2018, and the certificate, if you hold one, is issued against it. The clause 7.5.2 remote working preparation is an extension of the existing duty to a group of workers the system already covers, not a new system and not a reason to rebuild around a draft.
