Plain answer
What evidence should we keep for remote workers?
Keep the remote population and locations, the assessment, the control and the check that it works, the check-in and report record, the training, and the review. The evidence should be reachable by the worker and by an auditor who cannot visit.
Scope and assessment
A list of remote worker groups and locations, with the basis on which each is inside the system, and the current assessment for each group. The assessment should name the method, the criteria, the result and the review trigger, and cover the workstation, the environment, the work and the psychosocial risk.
Controls and equipment
The control that was chosen, the level in the hierarchy and why a higher level was not used. For equipment, the standard, who provided it, the date it reached the worker and the fit check. A policy that promises equipment without a record that it arrived is not evidence of a control.
Contact and reports
The record that the check-in happened, what was raised and what was actioned; the report of a hazard, near miss or incident, the investigation and the close-out; the training completion and the competence check. Keep the content separate from performance monitoring.
Review and change
The date of the last review, the evidence considered, the decision and the owner. The trigger for the next review, such as a move, a return, new equipment or a change in the arrangement. The management review record that considered the remote indicators.
