Clause 8.1.4.1: Procurement, general

Requirement todayISO 45001:2018Remote overlay: ProcurementReported area

The organization sets up, runs and keeps processes that govern how it buys products and services, so that what it buys is in line with its OH&S management system.

What clause 8.1.4.1 asks

The organization sets up, runs and keeps processes that govern how it buys products and services, so that what it buys is in line with its OH&S management system.

Procurement is a control point. What the organization buys decides which hazards enter the workplace, and the clause requires buying to be consistent with the OH&S system.

The remote working overlay

Buy equipment that fits the remote risk. The organization may buy the chair, the desk, the monitor, the laptop, the headset, the lighting or the software that makes a remote workplace safe. Procurement has to carry the health and safety criteria, not only the price and the delivery date. The public record does not set a product standard; it does make the equipment part of the control.

Basis: BSI, Arinite. For clause 8.1.4.1, the public record is a draft guideline and does not state a requirement in terms that this site can quote. The clause 8.1.4.1 overlay is our reading of the public scope and the named summaries, not the draft text.

Evidence for clause 8.1.4.1

An auditor will take a recent purchase of equipment or a chemical and ask what OH&S review happened before the order.

  • Procurement OH&S requirements in purchasing specifications
  • Procurement Pre-purchase hazard and risk review for equipment, chemicals and services
  • Procurement Receipt inspection or verification records

Where clause 8.1.4.1 commonly fails

  • Equipment purchased without OH&S review
  • Chemicals introduced without safety data sheet assessment

What to do about clause 8.1.4.1 before the guidance lands

Add a health and safety gate to the purchase of remote equipment and services. State the ergonomic and electrical criteria, require the worker's fit check before acceptance, and keep the asset, delivery and replacement record.

For clause 8.1.4.1, do the work that will be right under either instrument. The current requirement for clause 8.1.4.1 is ISO 45001:2018, and the certificate, if you hold one, is issued against it. The clause 8.1.4.1 remote working preparation is an extension of the existing duty to a group of workers the system already covers, not a new system and not a reason to rebuild around a draft.
